Association Management

First Stage Enterprises understands the tremendous pressures that volunteer Boards of not-for-profit associations face. Our association management team will meet with you to analyze your needs and the financial and volunteer resources available, and then develop a plan custom made for your success.

The following is a "check list" of the types of management and administrative support services that First Stage Enterprises can provide.

Office Identification & Profile

  • We provide use of our office address as your official mailing address. This is important for continuity as your Board of Directors change over time.
  • We will provide storage space for your important association archival records.
  • We can inventory and sell any "products" or publications that your association makes available to it's members.
  • Our office will maintain your corporate registration current (if you are incorporated).
  • Access to large meeting rooms.


  • We will provide you with a direct telephone line (if volume warrants) and answering services.
  • We can provide a unique e-mail address for your organization.
  • Web site design, hosting, and ongoing web management.

Strategic Planning/Board Liaison

  • Consultation with your Board of Directors on your annual planning cycle.
  • Development of strategic objectives.
  • Arrange for regularly scheduled Board meetings.
  • Attend Board meetings (as required) to discuss financial and strategic planning matters.
  • Facilitate strategic planning sessions.

Financial Services

  • Set up association financial records (Quick Books).
  • Assist Treasurer in the preparation of the annual budget.
  • Manage all deposits
  • Reconcile monthly cheques & disbursements
  • Prepare monthly financial statements, including:
    • Income & Expenditures
    • Balance sheet
    • Budget variance analysis
  • Prepare and file annual GST reports (if required)
  • Year-End Financial Statements
  • Liaison with auditor for annual audit

Annual Meeting

  • Assist with site selection and logistics of the AGM
  • Prepare materials for Annual Meeting, including:
    • Distribution of nomination forms & ballots
    • Production of Financial Statements for Annual Meeting
    • Production of Agenda for Annual Meeting and other reports


  • We will set up an online membership database for your organization.
  • We will manage the annual membership membership renewal process.

If your group has a regular membership newsletter (bi-monthly, quarterly, etc.) we are able to provide the following publication services:

  • To assist your editor in managing size and content of each issue.
  • To work with the editor and our desktop designer to evaluate look and image of the publication.
  • To arrange for printing or e-file for electronic distribution helping you achieve your goals in a cost effective manner.
