The following are the various conference management services available from "First Stage Enterprises" to assist your organization in the successful operation of your event. These services can be customized depending upon the unique requirements of your specific event and the internal administrative capacity you may already have in place.

Event Planning & Consulting

  • Advisement on Planning Committee functions and tasks including sub-committee working groups
  • Facility contract negotiation; facility liaison and all facility operational details
  • Development and monitoring of a Critical Path Planning Tool in collaboration with your Planning Committee
  • Advisement on budget development and preparation of budget templates
  • Provision of a detailed conference "Operational Script"
  • Assistance with, or management of, your marketing plan:
  • Negotiations with, and supervision of all conference-related suppliers, i.e. audio-visual, printers, etc.
  • Development of a conference evaluation tool
  • Post-conference "de-briefing" and preparation of a report and recommendations for future events

On-site Conference Management
"First Stage Enterprises" will assume responsibility for the event operation, which includes the following:

  • Supervision of move-in and set-up
  • Operation of the conference office
  • On-site registration
  • Supervision of on-site suppliers, i.e., audio-visual, conference taping, other trades
  • Set-up of "Poster Sessions" or Receptions
  • All on-site facility interface
  • Reconciliation of all facility invoices

Financial Services
"First Stage Enterprises" will provide financial management services as follows:

  • Budget preparation and updates as needed
  • All banking
  • Registration cash reconciliation and accounts payable management
  • Monthly financial statements (income & expense statements)
  • Preparation of GST reports (if required)
  • Preparation of final Financial Report
  • Preparation of all records for audit (if required)

Registration Services
"First Stage Enterprises" will provide an online, computerized registration package and registration service, which includes:

  • Processing of all registration
  • Production of attendee confirmations
  • Production of name badges
  • Production of conference registration lists
  • Preparations of registration kits
  • We accept Visa, MasterCard & American Express

Conference Mailing Address
Use of our corporate address as the official mailing address, phone message centre, and Fax centre for your conference or event.

"First Stage Enterprises" can extend liability insurance protection required by facilities for one time events.
